Generate a Directory

PDF V2 introduces a new PDF generator with expanded customization options, improved layout controls, and new booklet-ready PDF options.

While there are some workflow changes, the core PDF tasks remain familiar. You can still generate, preview, download, share, password protect, and manage your directory PDFs from the PDF tab.

What’s New in PDF V2?

PDF V2 uses a newer PDF generation system designed to provide:

  • Improved directory appearance and layout
  • A preview option before downloading
  • More customization options
  • Greater consistency throughout the document
  • Better support for future enhancements
  • New booklet-ready PDF layouts for easier booklet printing

Many customization settings now affect the entire directory rather than only specific sections.

New and Expanded Customization Options

Depending on your subscription level, PDF V2 may include options such as:

  • Additional font choices
  • Font size settings that flow throughout the entire directory
  • New page numbering options
  • New table of contents options
  • Directory date controls
  • Additional layout and appearance settings
  • A secondary font selection, available with Premium
  • Optional full bleed cover page, available with Premium

One of the most requested improvements is that font size settings now flow throughout the directory instead of affecting only roster pages.

What’s Stayed the Same?

Although PDF V2 introduces a new PDF generator, many everyday PDF tasks remain the same.

You can still:

  • Generate a PDF
  • Preview a PDF
  • Download a PDF
  • Share a PDF
  • Copy a share link
  • Stop sharing a PDF
  • Delete a PDF
  • Add or remove password protection
  • Work with addendums
  • Generate group and subdirectory PDFs

The goal of PDF V2 is to improve the finished PDF while keeping familiar tasks easy to find.

What’s Different?

The biggest workflow change is that customization settings now play a larger role in shaping your finished PDF.

In PDF V2:

  • Customize is where you choose how your directory should look.
  • PDF is where you generate, preview, download, share, and manage your finished PDF.

This helps separate designing your directory from working with the final PDF.

Updated PDF Setup Options

PDF V2 now includes updated setup options that give you more control over both the finished page size and the PDF layout.

To adjust these settings:

  1. Open the Customize tab.
  2. Select PDF Setup.
  3. Choose your finished page size.
  4. Choose your PDF layout.
  5. Return to the PDF tab and generate your PDF.

Changes are saved automatically and take effect the next time you generate a PDF

Finished Page Size

In previous versions, page size could feel like a separate type of PDF.

In PDF V2, page size is now part of your PDF setup.

Available finished page sizes may include:

  • Full Page — 8½ × 11"
  • Half Page — 5½ × 8½"

The finished page size controls the size of each page in your completed directory.

PDF Layout

PDF V2 also includes a new PDF layout setting.

Available layout options may include:

  • Single pages — normal reading order
  • Booklet-ready spreads — printer spreads arranged for double-sided printing, folding, and stapling

Single Pages

Choose Single pages if you want your PDF pages to appear in normal reading order.

This option is best when you want to:

  • View the PDF on screen
  • Print regular full-page or half-page sheets
  • Send the file to someone who does not need booklet printing
  • Let a print shop handle booklet setup themselves

Booklet-Ready Spreads

Choose Booklet-ready spreads if you want the PDF arranged for booklet printing.

When this option is selected, the PDF pages are placed in printer spread order so they can be printed double-sided, folded, and stapled into a booklet.

For example, a full-page directory with booklet-ready spreads is designed to print on 11 × 17" paper in landscape orientation, with two directory pages per sheet.

Pages may look out of order when viewed on screen. This is expected because the pages are arranged for printing, folding, and stapling.

Recommended printer settings may include:

  • Print double-sided
  • Use landscape orientation
  • Flip on the short edge
  • Fold the printed pages in half

If you send a booklet-ready PDF to a print shop, let them know the file has already been imposed or arranged for booklet printing so they do not impose it a second time.

Binding Margin

PDF V2 includes a binding margin setting.

The binding margin adds extra inner space for stapling, binding, or hole-punching.

Available options may include:

  • No extra binding margin
  • Add binding margin

When a binding margin is added, additional printing side options may appear so the margin can be placed correctly.

Viewing Your Current PDF Format

On the PDF tab, you can see the current output format above your generated PDF cards.

For example, the output format may show:

Full Page — Booklet-ready

This helps confirm which settings will be used the next time you generate your PDF.
