Introduction 

Our new Export Tool (currently in Preview mode) makes it easy to export directory data in multiple formats. You can quickly generate files for bulk emails, text messages, mailing labels, and more.

You can access the Export Tool in two locations:

  • Dashboard Navigation: Under "Importing and Exporting Directory Data", click New Export Method (Preview).
  • Header Menu: Find the Export feature in the blue menu bar.


Step 1: Choose Your Export Template

Here are the available export templates and what they include:

  • Template 1 – All Data by Families
    • Exports the entire directory, keeping all family data in one row.
  • Template 2 – All Data by Persons
    • Exports each person’s details, including their family information (address, birthdate, phone, email).
  • Template 3 – Birthdays
    • Generates a list of all individuals with birthdates.
  • Template 4 – Emails
    • Creates a list of member names and emails for bulk sending. (Only names with email addresses are included.)
  • Template 5 – Mailing Labels
    • Exports last names with addresses, city, state, and ZIP code.
  • Template 6 – Mobile Phones
    • Lists names and phone numbers for bulk texting. (Only individuals with phone numbers are included.)

All templates export a CSV file, which can be opened in Notepad, Excel, or Google Sheets.


Step 2: Select What Data to Export

After choosing your template, select:

  • Entire Directory (All): Exports all members.
  • Specific Groups: Only exports members in selected groups.

Step 3: Customize Your Export Fields

You can add or remove fields from your export by selecting or deselecting checkboxes. Only checked fields will be included in the exported file.

Once satisfied with your selections:

  1. Click Generate Export.
  2. When the export is ready, click Download CSV File.

FAQs & Troubleshooting


Q: How do I put the birthday list in date order?

A: Open the exported file in Excel or Google Sheets and use the Sort feature:

  1. Click on the Birthdate column.
  2. Select Sort Ascending (oldest to youngest) or Sort Descending (youngest to oldest). This Microsoft quick start guide for sorting data may be of help.  

Q: My export file isn't downloading. What should I do?

A: Try refreshing your page and generating the export again. If the issue persists:

  • Check your browser’s download settings.
  • Clear your cache and try again.
  • Contact support if needed.
